# Trade quote drafts with ChatGPT

> A trade quote should start from notes you took and from supplier pages you opened, not from a model's memory of prices. ChatGPT can lay the lines into your template. It must leave a blank where you have no figure. You check VAT, the day, and the total, then you send it. This has not been live-tested.

- Task: Quote and estimate drafts
- Tool: ChatGPT
- Industries: Tradespeople
- Who it's for: A tradesperson who already writes estimates and wants the layout done from notes, without a guessed price or a promised start date.
- Time to set up: About an hour to make the template, then minutes a quote
- Monthly cost (USD): $0 to try, or $20 if you already pay for Plus
- Monthly cost (GBP, planning figure): £0 to try, or about £15 if you pay for Plus
- Difficulty: beginner
- Last tested: Not yet tested
- Updated: 25 October 2026

ChatGPT Plus was publicly listed at $20 a month before tax when the pricing page was checked for the other playbooks on 24 October 2026. About £15 uses £1 = $1.33. The free plan can draft a light number of quotes until you hit the cap. A fetch of the pricing page on 25 October 2026 did not return a price in the text, so reopen it before you subscribe.

GBP figures are a budgeting conversion at £1 = $1.33 and €1 = £0.86, rounded to the nearest pound, fixed for this edition on 24 October 2026. They are not a live rate and not a quote. Vendor list prices are usually quoted before tax.

## Before you start

The phone can take a message. It cannot price the job. If you also miss calls, that is the [Lindy receptionist](/playbooks/lindy-missed-call-receptionist) or the [Smith.ai script](/playbooks/smith-ai-small-business-receptionist), and both of those forbid a quoted price.

Supplier pages you have not opened yet belong in the [research brief](/playbooks/grok-supplier-research). Bring the figures back here only after you have seen them.

## What you need

- A one-page estimate template you are willing to stand behind.
- Site notes with measurements, and supplier pages or trade prices you have opened.
- A rule that a missing price stays blank.

## Step by step

### 1. Make a template with empty prices

In a document or a sheet, put the lines you always use: labour, materials, VAT if you charge it, and what is not included. Leave the amounts blank. Add a line that says the estimate is valid until a date you choose, and that a start date is not a promise until you confirm it. The model does not get to invent those sentences later.

### 2. Type the notes before you open a chat

Write the measurements, the access, and the materials you saw. If a supplier price is not in the notes, open the supplier page and write the figure down with the date and the unit. The research playbook is the search, if you do not yet have the pages. A number with no page does not go in the notes.

### 3. Ask for a layout, and forbid new numbers

Paste the template and the notes into a ChatGPT Project. Tell it to use only figures that appear in the notes, to show VAT as a separate line only if your template says you charge it, and to write BLANK where a figure is missing. Tell it not to add a start date. You are not pasting card numbers, staff medical notes, or anything about a child's data.

### 4. Check the arithmetic against the notes

Read every line back to the note or the supplier page. Recalculate the total yourself. If a unit changed from each to a box, fix it. If the model filled a blank, delete the line. A tidy total that you did not check is the failure mode of this guide.

### 5. Send it yourself, and file the notes

Export the draft into the template you actually send, by email or on paper. You press send. Keep the notes and the supplier pages with the job. The sheet is a working copy. It is not the invoice and it is not a Construction Industry Scheme return. If the customer accepts, you still confirm the day in your own words.

## What can go wrong

### A price the model remembered

Trade prices move, and a remembered price has no date. If it was not in your notes, it is not in the estimate.

### VAT added out of habit

Some readers are VAT-registered and some are not. The template says which. The model must not decide your registration for you.

### A start date that sounds helpful

The diary has travel and other jobs. The estimate can say you will confirm a date. It cannot offer Thursday from a chat.

## UK notes

### Costs, including VAT

Trying this on the free ChatGPT plan is £0 until the cap. Plus at $20 is about £15 at the planning rate of £1 = $1.33 fixed on 24 October 2026, before tax. That is not a quote, and the 25 October fetch of the pricing page did not repeat the figure in text. VAT on the software invoice is separate from VAT on the job you are pricing. Do not mix them up in the estimate.

### Data flow

Site addresses and customer names in the notes are personal data. Pasting them into a consumer chat is a choice you should make deliberately. Prefer a job reference and the measurements if the name is not needed to lay out the lines. OpenAI's privacy policy, linked below, is the vendor's account of training and retention. Turn off training on the plan if the control exists, and do not paste special-category data.

### HMRC and Making Tax Digital

An estimate is not a tax invoice and it does not operate the Construction Industry Scheme. CIS deductions, if they apply to you, are handled from GOV.UK's guidance or by your accountant, not by this draft. If your qualifying income brings you into Making Tax Digital for Income Tax, the quarterly update still happens in compatible software. A quote sheet is not that update. Keep the copy of what you sent.

This is practical orientation, not tax, legal, or accounting advice.

## Test log

- 25 October 2026 — pending. Pending first test. The steps were compiled from the quoting method and the earlier ChatGPT pricing check. They have not been run on a live estimate.

## Questions

### Where do supplier prices come from?

From pages you open, or from a trade account you already use. The Grok research brief can list those pages. It is not allowed to drop an unsourced figure into this estimate.

### Can it email the customer?

No. You copy the checked draft into your own email or your estimating tool and you send it. A wrong day is expensive.

### What if I am not VAT-registered?

Say so in the template, in your own words, and tell the model not to add a VAT line. This page is not advice on whether you should be registered.
