# Outlook inbox triage with rules and a ChatGPT draft

> Inbox triage in Outlook means rules that file newsletters and invoices, then a ChatGPT draft you paste and send yourself. On 25 October 2026 the ChatGPT pricing page listed a free plan and did not print a paid price in the text. This is the Outlook path. The Gmail guides are separate. This has not been live-tested.

- Task: Automate email triage
- Tool: ChatGPT
- Industries: Consultants, Agencies, Tradespeople
- Who it's for: A sole trader whose business mail is in Outlook or Outlook.com, and who will not let a draft send itself.
- Time to set up: One sitting, before you rely on it
- Monthly cost (USD): $0 on the free plan
- Monthly cost (GBP, planning figure): £0 on the free plan
- Difficulty: beginner
- Last tested: Not yet tested
- Updated: 25 October 2026

On 25 October 2026 the ChatGPT pricing page listed Free, Go, Plus, and Pro. Free was described as available to everyone, and the comparison table marked Projects as included on Free, with file uploads limited. No dollar amount for Go, Plus, or Pro was in the text. Microsoft's rules article covers Outlook, Outlook on the web, and Outlook.com. This guide does not copy a Microsoft 365 subscription price.

GBP figures are a budgeting conversion at £1 = $1.33 and €1 = £0.86, rounded to the nearest pound, fixed for this edition on 24 October 2026. They are not a live rate and not a quote. Vendor list prices are usually quoted before tax.

## Before you start

If the mail is in Gmail, start with [labels and a ChatGPT Project](/playbooks/gmail-chatgpt-email-triage) or with [Help me write](/playbooks/gemini-gmail-email-assistant) when that button is actually there. This page does not replace either of them.

The sentences you keep answering belong on a [public FAQ](/playbooks/chatgpt-faq-page-draft) once you are tired of drafting the same reply.

## What you need

- An Outlook, Outlook on the web, or Outlook.com mailbox you already use for the business.
- A ChatGPT account. The free plan is the one this guide uses.
- Three folder names you will actually open: Customers, Money, and Later.

## Step by step

### 1. Make three folders, not a new inbox

In the mailbox you already use, create Customers, Money, and Later. Customers is mail a person is waiting on. Money is invoices and receipts. Later is newsletters and notifications. Leave the inbox for anything that does not match. Do not start by connecting the mailbox to ChatGPT.

### 2. Add a rule from a real message

Microsoft's rules article says you can right-click a message, choose Rules, then Create rule, and move mail from that sender into a folder. Do that for the newsletter you never read and for the address that sends your invoices. A rule needs a name, a condition, and an action. Stop processing more rules if a later rule would pull the same message back out.

### 3. Check the rule on the next message, not on a guess

Send yourself one mail from a personal address, or wait for the next real newsletter. If it lands in the wrong folder, edit the rule. Outlook.com's article says a new rule applies to messages you receive after it is created, and that you cannot run it on existing mail in the Outlook.com beta. Do not expect yesterday's pile to sort itself.

### 4. Draft in a ChatGPT Project, from one thread

OpenAI's Projects article says you create a project from New project in the sidebar and add instructions under Project settings. Write that missing prices, dates, and refunds must be flagged, not invented. Paste one customer thread. Ask for a short reply in your voice. The pricing page marked Projects on the free plan. File uploads on Free were listed as limited, so paste text.

### 5. Paste the draft back and send it yourself

Read the name, the day, and any number. Delete a promise you did not mean. Paste it into Outlook and press send. Do not look for a rule whose action is to reply. A rule that forwards mail to another address is a different product decision, described on the Outlook.com tab of the same article, and it is not part of this setup.

### 6. If the mailbox is Gmail, use the other page

New Outlook's rules article says it does not support rules for third-party accounts such as Gmail. Those accounts are configured in Gmail. Use the Gmail triage guide, or Gemini inside Gmail if that button is on the account. This page is for Outlook. Mixing the two sets of steps will not sort either mailbox.

## What can go wrong

### A rule that replies for you

Filing is the safe action. An automatic reply can promise a visit or a price. This guide does not set one.

### Pasting the whole mailbox into the chat

One thread is enough. An export of every customer is a file you did not need to create, and a consumer chat is a poor place for it.

### Paying for Plus from a price this page does not have

The 25 October 2026 pricing text named Plus and did not print a dollar amount. Open the page. The free plan is enough to try the draft.

## UK notes

### Costs, including VAT

The recommended path is £0. ChatGPT's free plan was listed on 25 October 2026. Paid plan dollars were not in that text, so this page does not convert them. A Microsoft 365 subscription, if you already pay for one, is a separate invoice. VAT on software is not the same as VAT on the job the email is about. Read the invoice you actually receive.

### Data flow

The mailbox stays in Microsoft. The draft is the part that leaves it: the text you paste into ChatGPT. A customer email is personal data. Paste the thread you are answering, not a directory of customers, and do not include card numbers, health details, or anything about children. UK GDPR still needs a reason you can explain. This is not a covert copy of the inbox.

### HMRC and Making Tax Digital

A tidier Outlook folder is not a record for Self Assessment and it does not file a Making Tax Digital update. Invoices still belong in the books you already keep. If a rule files a supplier's bill into Money, you still have to read it. The receipt-filing guide is the photo. This page only moves the email.

This is practical orientation, not tax, legal, or accounting advice.

## Test log

- 25 October 2026 — pending. Pending first test. The steps were compiled from Microsoft's Outlook rules article and the ChatGPT pricing and Projects pages. They have not been run on a live mailbox.

## Questions

### Is this the Gmail guide with the name changed?

No. The folders and the draft habit are similar. The rules are Microsoft's, and new Outlook does not apply those rules to a Gmail account. Use the Gmail page if that is the mailbox.

### Can Outlook.com sort mail I already have?

The Outlook.com tab of the rules article says a new rule applies to mail you receive after you create it, and that the beta cannot run rules on existing messages. Use Archive, Move, or Sweep for the old pile.

### Do I need ChatGPT Plus?

Not to try this. Projects were marked on the free plan. Paid prices were not in the text fetched on 25 October 2026. Open the pricing page before you subscribe.
