A scheduling agent that does not touch the calendar

Direct answer

Set up a free Google Calendar appointment page so people book a real gap in your diary, then use ChatGPT only to draft the reply that sends the link. Do not let an agent create events from incoming email without you. This has not been live-tested.

Google Calendar appointment schedules come with a normal Google account. ChatGPT Plus was listed at $20 a month, about £15, if you want help drafting the reply. You can send the link from a template and pay nothing. Confirm ChatGPT's pricing page before you subscribe.

GBP figures are a budgeting conversion at £1 = $1.33 and €1 = £0.86, rounded to the nearest pound, fixed for this edition on 24 October 2026. They are not a live rate and not a quote. Vendor list prices are usually quoted before tax.

Who it is for

Anyone who loses time to 'are you free Tuesday' emails: consultants, coaches, salons, and trades booking quote visits.

Put the booking link in the places people already look: the email signature, the Google Business Profile, and the automatic reply you send when you are on a job. A perfect calendar that nobody can find does not reduce the back-and-forth.

If you do quote visits, the form should ask whether anyone needs to be home and whether there is parking. Those two lines prevent more wasted journeys than any agent feature.

What you need

  • A Google account with Calendar, and a honest picture of the hours you can actually offer.
  • Optional: a ChatGPT account for messy enquiry emails.
  • Your travel limits or meeting length written down before you open the settings.

Step by step

  1. 01

    Create an appointment schedule

In Google Calendar, create an appointment schedule for the meeting you actually want: a 20-minute quote visit, a 45-minute intro call, a salon consultation. Set the hours, add a buffer, and block lunch, school runs, and existing jobs as busy. Open the booking page in a private window and book a test slot. Then delete the test.

  2. 02

Ask for the facts you need before you travel

On the booking form, ask for a phone number, the address or postcode, and what the job or call is about. If you cover a limited area, say so in the description. Set the time zone explicitly if you take calls from other countries. Check that bank holidays appear as unavailable. The page should only offer time you would accept.

  3. 03

Draft the reply, by hand or with ChatGPT

Keep a short Gmail reply: thank them, paste the booking link, and say you will see the details once they book. Do not offer a date that is not on the page. If the incoming email is messy, paste it into a ChatGPT Project that extracts the job, the place, and any deadline, and drafts a reply using your template. You send it from Gmail.

  4. 04

Do not let email create events

A sentence like 'Tuesday is fine' is not a booking. If an automation creates events from mail, it will double-book you against the appointment page. The booking page is the only thing that may create the event. If someone insists on arranging it by phone, you put the event in the calendar yourself, and you check the booking page so the slot disappears.

  5. 05

Look at next week every Friday

Open the schedule and the calendar together. If you are fully booked, shorten the window or say so in your replies. If nobody books, the link is missing from your emails, or the hours you offered are when your customers are at work. Change one of those. Do not add a second scheduling tool on top.

What can go wrong

  • Two writers of the diary

Calendly plus Google appointment schedules plus an agent is three sources of truth. Pick one booking page. Turn the others off.

  • No travel buffer

Back-to-back quote visits across town make you late, and the page looks efficient while doing it. Put the buffer in before the first real booking, not after the first complaint.

  • The draft offers a time anyway

Tell the Project it must not name a day or a clock time. If a draft contains one, delete that sentence. The link is the offer.

UK notes

Costs, including VAT

The calendar page can be £0. ChatGPT, if you use it, is £0 until the free cap, or about £15 a month for Plus at the planning rate. Prices are before any VAT the vendor adds. A VAT-registered business buying from an overseas supplier may account for the reverse charge. If you are not registered, you cannot reclaim VAT that appears on the receipt.

Data flow

A booking collects a name, contact details, and often an address. That is personal data stored in Google. Pasting the enquiry into ChatGPT sends it to OpenAI as well. Do not include special-category information in the booking form. Your privacy notice should say you use the details to arrange the appointment. A link to that notice belongs anywhere you publish the booking page.

HMRC and Making Tax Digital

Scheduling software does not change your tax return. If you are within Making Tax Digital for Income Tax, this page is irrelevant to the quarterly update except as a business cost. Travel to a quote may or may not be an allowable expense depending on the journey. That is an HMRC question, and the booking tool will not answer it for you.

Practical orientation for a UK reader. Not tax, legal, or accounting advice.

Questions people ask

Do I need ChatGPT at all?

No. A template in Gmail and the booking link are the whole system. Use ChatGPT only when the enquiry is long and you want the job and the place pulled out before you reply.

What about Calendly or similar?

Use one of them if you already like it. The rule is the same: one page creates events, and the agent does not. This guide uses Google because there is no extra subscription.

Can customers in other time zones book?

Yes, if you say which zone the hours are in and you have checked the page shows the right slots. For a local trade, say you only visit certain postcodes and ask for the postcode on the form.
