File organisation

Direct answer

File organisation here means a short tree in Google Drive: clients, admin, and archive. You create the folders and you move the files. ChatGPT may suggest a short name from a list you type. It does not receive the documents. Nothing in this task has been run on a live Drive.

For a Drive that has become a list of downloads. Three top folders, one folder per current job, and a rule that the model never receives the file.

Search works when the active jobs have names you would say out loud. The folder layout is that habit. Receipts stay on their own page so a tax photo is not buried in a logo folder.

Do not upload a zip of client work to get advice on what to call it. The names are already on the invoices.

A client folder layout in Google Drive

Organise client files by creating a short folder tree in Google Drive and moving files yourself. ChatGPT can propose names from a list you type. Google's own help says names should be short and meaningful, and that you need permission to move a file. The free ChatGPT plan was listed on 25 October 2026. This has not been live-tested.

Questions

Can an agent tidy the Drive overnight?

Not in this library. Moving a file needs your permission, and a model with the documents has more than a naming job. The playbook keeps the click with you.

Where do receipts go?

In a month folder, on the receipt-filing playbook. That is a finding aid for the photo. It is not the same job as a client project folder.

Is a shared link a filing system?

No. Anyone with the link is how a client folder becomes public. Share a named file with a named person, or do not share.
