A client folder layout in Google Drive

Direct answer

Organise client files by creating a short folder tree in Google Drive and moving files yourself. ChatGPT can propose names from a list you type. Google's own help says names should be short and meaningful, and that you need permission to move a file. The free ChatGPT plan was listed on 25 October 2026. This has not been live-tested.

Google's Drive help page describes creating folders, short meaningful names, and moving files by drag or by Organize then Move. The Google AI plans page on 25 October 2026 said a Google Account gives you 15 GB of storage, included in the Google One total. ChatGPT's pricing page the same day listed a free plan and did not print a paid dollar amount. This guide adds no subscription.

GBP figures are a budgeting conversion at £1 = $1.33 and €1 = £0.86, rounded to the nearest pound, fixed for this edition on 24 October 2026. They are not a live rate and not a quote. Vendor list prices are usually quoted before tax.

Who it is for

A sole trader whose Drive is one long list of downloads, and who will move the files rather than ask a model to.

Receipt photos get their own month folders on the filing guide. A report you have already sent can live in the client folder. The draft of that report is the Claude page.

PDFs you are copying into a sheet, rather than filing, stay on the data-entry guide.

What you need

  • A Google account and a Drive that is currently hard to search.
  • A list of active clients or jobs, typed by you, without attaching their files.
  • Permission to move the files. If you do not own them, Drive may create a shortcut instead.

Step by step

  1. 01

Start with three top folders, not thirty

Drive's help page says there is no single correct layout, and it suggests starting simple: folders for projects, then smaller folders inside, with short names and a date when that helps. Create Clients, Admin, and Archive. Admin holds templates and your own records. Archive is work you are no longer billing. Clients holds one folder per current job. You click New, then Folder.

  2. 02

Ask for names from a list, not from the files

Type the client or job names into a ChatGPT Project and ask for a folder name that is short and has no slash. The Projects article describes how to add instructions. Tell it not to invent clients. The pricing page marked Projects on Free and listed file uploads on Free as limited. Do not upload a zip of client work to get the names. You already know the names.

  3. 03

Create the folders yourself and colour only if it helps

Type the names into Drive. The help page says folder colour is optional and applies to your view. Use one colour for active clients if you want a visual check. Skip it if it becomes a project of its own. Star the Clients folder if that is the one you open every day. The help page describes Add to starred.

  4. 04

Move files you have the right to move

The help page says you need permission to move a file from the source to the destination, otherwise Drive creates a shortcut instead of moving it. Drag the file, or right-click, Organize, Move. A shortcut is not a copy of the work in the client folder. If you see a shortcut, you do not own the file. Leave it, or ask the owner. Do not ask ChatGPT to perform the move.

  5. 05

Put receipts and reports in the folders you already named

A month of receipt photos belongs under Admin, using the receipt-filing guide, not inside a random client folder unless the receipt is for that job. A weekly report you have sent belongs in that client's folder as the file you actually sent. Do not drop the chat transcript in beside it. The transcript is not the deliverable.

  6. 06

Stop when search works, and do not reshuffle monthly

The help page notes that moving a lot of files can take time to appear. Move the active jobs first. Leave old downloads until you need them. A second reorganisation next month is how links you already sent break. Share a client folder only with the person who needs it. Anyone with the link is the mistake.

What can go wrong

  • Uploading client files so the model can sort them

The names are enough. The files can contain other people's data. They stay in Drive.

  • A move that became a shortcut

The help page says that happens when you lack permission. The original did not move. Do not delete the original thinking the shortcut replaced it.

  • Sharing the Clients folder to anyone with the link

One link then covers every job. Share a single file with a named person, or do not share.

UK notes

Costs, including VAT

The recommended path is £0. The 15 GB figure is what the Google AI plans page said a Google Account includes. If your Drive is already full, storage is a separate Google One decision and this page does not copy those paid totals beyond what that page showed for AI plans. ChatGPT paid prices were not in the 25 October text.

Data flow

Folder names can be personal data when the client is a person. The files inside are often someone else's documents. They stay in your Drive. ChatGPT receives the list of names you type, not the documents. UK GDPR applies to the people in those files. A shared link is a disclosure. Do not create one for the whole tree.

HMRC and Making Tax Digital

A tidy Drive is not your Self Assessment record and it does not file a Making Tax Digital update. GOV.UK still expects income and expense records. The receipt folder is a finding aid for those records, described on the filing guide. Deleting a folder because it looks old is how a record disappears. Read the retention pages before you archive anything you might need.

Practical orientation for a UK reader. Not tax, legal, or accounting advice.

Questions people ask

Will ChatGPT move the files?

No. It may suggest a short name from a list you type. You create the folder and you drag the file. The Drive help page is the move instruction.

What if Drive offers a shortcut instead of a move?

The help page says that happens when you do not have permission to move the file. The original stays where it was. Do not delete it.

Where do receipt photos go?

In a month folder under Admin, using the receipt-filing guide. A client folder is for that job's documents, not for every photo on the phone.
