Data entry from PDFs and forms with Claude
Direct answer
Data entry from a PDF or a form is a row you check, not a file the model files. Claude can read the page into a sheet. If a figure is unclear, the cell stays blank and the original stays attached. The row is not your statutory record. Nothing here has been live-tested.

Claude's pricing page on 25 October 2026 listed a free plan at $0, Pro at $17 a month with annual billing ($200 up front) and $20 if billed monthly. About £13 and £15 use £1 = $1.33. The free plan is the recommended way to try a small batch. Read the usage cap on the day.
GBP figures are a budgeting conversion at £1 = $1.33 and €1 = £0.86, rounded to the nearest pound, fixed for this edition on 24 October 2026. They are not a live rate and not a quote. Vendor list prices are usually quoted before tax.

Who it is for
A bookkeeper, consultant, or tradesperson copying the same fields out of supplier PDFs or application forms, who will reject a row they have not read.
Receipt photos stay on their own page: checked bookkeeping rows. A quote you send to a customer is the trade estimate, which refuses a figure you have not sourced.
If the sheet is only a reminder of what is waiting, the Monday digest can list that. It should not contain the PDFs.
What you need
- A sheet with one column per field you actually need.
- The original PDF kept in a folder, not only inside the chat.
- A rule that an unreadable figure is a blank, not a guess.
Step by step
01
Decide the columns before you upload anything
Write the headers you will accept: date, supplier, reference, net, VAT, total, or whatever the form really contains. Do not add a column 'for later'. Receipt photos are a different playbook with a different sheet. Mixing a tax form and a till receipt in one table is how a total gets posted twice.
02
Upload one file and demand blanks
In Claude, upload a single PDF. Paste the headers. Tell it to extract only those fields, to quote the page text it used, and to write BLANK when a figure is missing, smudged, or contradictory. Tell it not to calculate a total that is not printed. One file at a time until you trust the shape of the mistakes.
03
Check the row against the page, then type it
Open the PDF beside the answer. Read every figure. If they disagree, the PDF wins and the cell stays blank until you can read it. Type the accepted row into the sheet yourself, or paste it and then re-read it. The chat is not the record. The sheet is a working list you control.
04
Keep the file, and do not paste the whole folder
Store the PDF where the row can point at it. Do not upload a client's whole archive to see what happens. Names, addresses, and numbers are personal data. A consumer chat is the wrong place for a stack of other people's forms. If a file contains card numbers or health details, do not upload it.
05
Stop when the cap or the error rate says so
The free plan exists to try this. Pro, listed at $20 a month or $17 on annual billing, is a later decision when the cap gets in the way of a batch you are already checking. If blanks are rare and errors are common, the prompt is wrong or the scan is too poor. Fix that before you pay. This page has not measured an error rate.
What can go wrong
A calculated total that was not on the page
If the form's total is unreadable, blank is the answer. A model that adds the lines can hide a misread. You add it up when you can see the lines.
Using this sheet as the books
The receipt playbook says the same thing. A working sheet is not the statutory record and it does not file a return. Your accounting software, if you are in Making Tax Digital, still does that job.
A shared link to the sheet
Client forms are not a document for 'anyone with the link'. Keep the sheet private. Remove rows when the job is over if you do not need them.
UK notes
Costs, including VAT
A trial batch on the free plan is £0. Pro at $20 a month is about £15, and $17 on the annual price is about £13, at the planning rate of £1 = $1.33 fixed on 24 October 2026. The annual plan was shown as $200 billed up front. VAT may be extra. The rate is not a quote. Do not buy Pro to avoid checking rows.
Data flow
A form usually contains personal data. Uploading it to Claude means Anthropic processes it. Read the privacy policy linked below, and turn off training if the plan offers that control. You remain responsible for the client's documents. Do not upload special-category data, card numbers, or a child's information. A blank cell is also a data-minimisation habit: do not collect a field you do not need.
HMRC and Making Tax Digital
HMRC's record-keeping guidance, not this sheet, says what a business must keep. Making Tax Digital for Income Tax, where the income thresholds bring you in, still needs compatible software for the digital records and the quarterly updates. This playbook does not submit anything. If the PDF is a VAT invoice, the VAT record rules are a further page on GOV.UK. The row is a transcript to help you type, nothing more.
Practical orientation for a UK reader. Not tax, legal, or accounting advice.

Questions people ask
Why not the receipt playbook?
Use that one for photos of things you bought. Use this one for PDFs and forms with different columns. The rule is the same: a person accepts the row, and a blank beats a guess.
Can it fill an official form for me to file?
It can draft a row. You file, sign, and pay. Do not upload a return and treat the chat as the submission.
What if Claude's screens move?
The stable part is one file, named columns, and a blank for anything you cannot read. If the upload control is gone, treat the step as unverified and write to us.
