A Monday admin digest with n8n
Direct answer
Use n8n to email you one Monday morning note: unread mail that needs a reply, the week's calendar, and invoices you have marked overdue. It is a reminder, not a manager. Start on n8n Cloud if you do not want to host a server. Not live-tested yet.

n8n Cloud Starter was listed at €20 a month when billed annually, about £17 at €1 = £0.86. Self-hosting the Community Edition has no licence fee. You still pay for a server and for your time. Execution limits are on the pricing page and change. A small VPS is often a separate few pounds. Get a current host price rather than trusting a round number from a guide.
GBP figures are a budgeting conversion at £1 = $1.33 and €1 = £0.86, rounded to the nearest pound, fixed for this edition on 24 October 2026. They are not a live rate and not a quote. Vendor list prices are usually quoted before tax.

Who it is for
A consultant, bookkeeper, or small-agency owner who spends Monday reconstructing the week, and who can follow a visual workflow or is willing to learn one.
Read Make against n8n for this digest before you create the account. If the canvas looks hostile in the first ten minutes of the trial, that is useful information. Use Make instead of forcing a tool you will not reopen.
The invoice section should point at the chase sheet, not at a live connection to your accounting package. A wrong API token that can edit invoices does not belong in a Monday reminder.
What you need
- An n8n Cloud trial, or an n8n instance you already run.
- Gmail and Google Calendar on the account you want summarised.
- Optional: the invoice chase sheet from the Make playbook.
Step by step
01
Write the three lines that would change Monday
Unread mail that is not a newsletter, the next seven days of the calendar, and invoices you have marked overdue. Leave out the weather, a quote of the day, and any score. If a line would not make you do something, it does not belong. That list is the spec. Do not add to it during the build.
02
Use n8n Cloud unless you already host it
Start the Cloud trial and look at the Starter price before the trial ends. Starter was listed at €20 a month billed annually. Self-hosting is free of licence fees and is a different project: a server, updates, backups, and stored credentials. Do not begin there on a Sunday if you have never administered a server. Create a workflow with a schedule trigger for Monday at 07:30 in your local time zone. For the UK, that is Europe/London.
03
Connect read-only where the node allows it
Add Gmail to list recent unread threads, Google Calendar for the coming week, and Google Sheets if you keep an overdue list. You are assembling text for yourself. If a node offers to mark mail as read, send mail to other people, or edit events, leave that off. A digest that changes the inbox will hide the very messages it was meant to show you.
04
Email yourself, and check the lock screen
The last step emails your own address. Subject: Monday admin. The body has three short sections and a first line that says the digest is automatic and you should open the real inbox and calendar before you act. Run it manually. If client names in subject lines would show on a lock screen other people can see, change the mail section to counts and senders only.
05
Leave it for four Mondays
If you ignore the email, it is too long or it arrives at the wrong time. Change the time or cut a section. Do not add social statistics, bank balances, or a chatbot that comments on your week. A digest you read is the finished product. After four weeks, write a test-log note about what you actually used.
What can go wrong
Credentials on a laptop you forget
Self-hosted n8n stores Google tokens. If that server is a dusty PC under the desk, it is also a copy of your inbox access. Cloud is the simpler security story for most sole traders, at the price on the pricing page.
Subject lines of private matters
A digest forwarded onto a watch or a family iPad is a data leak you built. Shorten it until you would not mind it flashing in a cafe, or turn off lock-screen previews for that account.
The digest becomes a second inbox
If reading it takes as long as opening Gmail, delete a section. The point is a list you can finish before the kettle boils.
UK notes
Costs, including VAT
About £17 a month for Cloud Starter on the annual list price, before VAT, using €1 = £0.86. Monthly billing may be higher. Self-hosting moves the cost to a server and to your time, which is easy to pretend is free. VAT treatment depends on whether n8n charges UK VAT or you account for an imported service. Keep the invoice with your other software bills.
Data flow
The digest is built from your email, your calendar, and possibly a sheet of customer invoices. n8n Cloud processes that data on the way to an email you send yourself. That is still a processor, and the threads can include client personal data. Prefer counts over full subject lines if the mail is sensitive. Self-hosting does not remove UK GDPR. It changes where the server sits, which you should know, and it does not make a sloppy workflow lawful.
HMRC and Making Tax Digital
The digest does not keep books and does not send a Making Tax Digital update. It can remind you which invoices you already decided were overdue. The underlying records stay in your accounting software. Software and hosting used for the business are normally considered with your other expenses. This page is not the calculation.
Practical orientation for a UK reader. Not tax, legal, or accounting advice.

Questions people ask
Why not Make for the same email?
You can. The comparison page is there for that choice. Make is the easier hosted start. n8n is the one you can later run yourself without rewriting the idea. Neither has been timed against the other here.
Can it include my bank balance?
Do not. A balance in an email is a standing invitation to the wrong person, and it is not needed to decide what to do on Monday morning.
What if I am away?
Pause the workflow. A digest of a week you are not working is noise, and it may still put client names on a phone you left with someone.
