Meeting notes turned into tasks with Fathom

Direct answer

Turn meeting notes into tasks by recording only with consent, copying Fathom's free summary into a private sheet, and writing the actions yourself. On 25 October 2026, AI action items were a Premium feature, not part of Free. You still check any list a paid plan writes. This page has not been live-tested.

On 25 October 2026 Fathom's pricing page listed a free plan with unlimited recordings and instant summaries. Premium showed $16 a user a month on the annual view and $20 monthly, about £12 and £15 at £1 = $1.33. Team showed $15 and $19 with a two-user minimum. AI action items were listed on Premium. The free path is the one this guide recommends.

GBP figures are a budgeting conversion at £1 = $1.33 and €1 = £0.86, rounded to the nearest pound, fixed for this edition on 24 October 2026. They are not a live rate and not a quote. Vendor list prices are usually quoted before tax.

Who it is for

A consultant, coach, or small agency who leaves calls with a muddy sense of what was agreed, and will not publish the recording.

Book the time first. The Calendly link or the Google scheduling guide is the diary. This page starts when the call begins, and only if the other person knows.

A Monday reminder of your own tasks can live in the admin digest. Do not pipe the transcript into it.

What you need

  • A call the other person has agreed can be recorded.
  • A private sheet with columns for the task, the owner, and the week.
  • A sentence you will say at the start: a notetaker is in the call.

Step by step

  1. 01

Say the notetaker is there, and mean it

Before the recording starts, tell the other person a notetaker will join and that you will keep a summary, not publish a transcript. If they say no, do not record. A coaching or client call is not the place for a surprise bot. Write the refusal down so you do not ask the tool to join anyway.

  2. 02

Use the free summary, not a second tool

Connect the one calendar you book with. Let Fathom join that call. The pricing page listed unlimited recordings and instant summaries on Free. Do not also run another notetaker in the same meeting. Two transcripts do not make a clearer task list, and they double the personal data you are holding.

  3. 03

Copy the summary into a private sheet

After the call, copy the summary into a Google Sheet that is not shared by link. Add a row only for work you will do: the task, who owns it, and the week. On the free plan, write those rows yourself. The pricing page put AI-generated action items on Premium, so do not expect them on Free and do not pay mid-call to get them.

  4. 04

If you later pay for Premium, still edit the list

Premium was shown at $16 a user a month annually or $20 monthly, and the card included AI-generated action items. Treat that list as a draft. Delete anything you did not agree, and anything that spends money or promises a date. Paid cards also said 90 day guarantee. Read what that covers before you rely on it. This site has not cancelled a plan.

  5. 05

Close the loop in the next email, without the transcript

Send a short note of the tasks you accepted, in your own words. Do not attach the transcript. Do not paste the summary into a group chat or a social post. If a task belongs to the client, say so plainly. The Monday digest, if you use one, can remind you. It should not contain the recording.

What can go wrong

  • Recording without asking

Consent is the first step, not a footer. If you forgot, stop the notetaker and say so. Do not keep a file you were not allowed to make.

  • Trusting action items you did not read

A list can include a price or a deadline nobody agreed. Premium does not remove that check. Free does not include the list at all, on the page we read.

  • A sheet shared to anyone with the link

Client names and commercial terms do not belong on an open link. Keep the sheet private. Delete rows you no longer need.

UK notes

Costs, including VAT

The recommended path is £0. Premium at $16 a month on the annual view is about £12 at the planning rate of £1 = $1.33 fixed on 24 October 2026, and the monthly card at $20 is about £15. Team prices are higher and need two users. VAT may be extra. The 90 day line is the vendor's wording. It is not a promise from this page.

Data flow

A recording and a transcript of a client or coaching call are personal data, and they may include commercial secrets. Fathom processes them. Tell the other person, keep the sheet private, and do not drop the transcript into a separate chatbot to 'tidy it up'. That is a second processor you did not mention. UK GDPR needs a lawful basis you can explain. This is not a covert recording setup.

HMRC and Making Tax Digital

A notetaker subscription, if you later pay, is usually a business cost for a consultant. The summary is not an invoice and it does not file a Making Tax Digital update. If a call agreed a fee, the fee still has to be invoiced in the way you already invoice. Do not treat a task row as a tax record.

Practical orientation for a UK reader. Not tax, legal, or accounting advice.

Questions people ask

Do I need Premium to follow this?

No. The free plan's summary is the input, and you write the tasks. Premium's action items are optional and still need the same check.

Can I record every coaching session?

Only with a yes each time, or a written agreement that covers it. A standing surprise is not consent. If the work is sensitive, do not record it at all.

Where does the meeting get booked?

On a booking page, Calendly or Google Calendar, not by the notetaker. The notetaker joins a meeting that already exists.
