Cheaper AI for Invoice Admin? A Free-First Guide for Small Businesses
Desk research by Penelope Voss
28 October 2026

In short: OpenAI says its new GPT-6.1 Terra makes invoice-style admin cheaper, but that is for developers using its API, and it sits in paid ChatGPT plans. You don't need it. Try the job free: give an AI a made-up practice invoice, check every figure against the original, and automate only once the checks hold.

Disclosure: the Make links in this guide are affiliate links. If you sign up to Make through them, AgentShed earns a commission from Make, and you do not pay more. Each one is marked and uses rel=sponsored. The commission does not change what we say, and the other links go to the vendors' own pages.
What changed this week
On 26 October 2026, OpenAI released GPT-6.1 Terra. OpenAI describes it as a fast model for "computer-based tasks that fill the workday", such as filling out forms and drafting proposals. Three facts from OpenAI's announcement:
- Cheaper API. Its standard API prices are 50% lower than GPT-5.6 Terra and GPT-6.1 Sol. On OpenAI's model page that is $1 per million input tokens and $5 per million output tokens (28 October 2026).
- Invoices named. OpenAI names "reading incoming invoices and entering their details into accounting software" as high-volume work this makes practical for developers.
- Fewer errors, on OpenAI's own test. On an internal benchmark of error-inducing prompts, the error rate at low reasoning effort fell from 53.6% to 16.7%. That is OpenAI's number on OpenAI's test. It isn't an invoice test, and AgentShed hasn't measured it.
What it means for a one-person business
Mostly: the price of this kind of admin is heading down. That is good news, but not a switch you can flip today.
- Where it lives. The release notes say Terra is in ChatGPT Work and Codex for Plus, Pro, Business, Enterprise and Edu plans, "not Chat". Free and Go aren't on that list. The API is separate and billed per use.
- Who it's for. The invoice example is aimed at developers wiring software together. If that isn't you, you don't need to chase it.
- What you can do now. Learn the habit that works with any model: let AI draft, you check. That is free to start.
Try it free: four steps

- Invoice arrives. Use a made-up practice invoice with no real customer data: invented names, invented numbers. Keep the original file.
- AI reads it. Ask for only the fields you need, for example: date, supplier, reference, net, VAT, total. If a figure is missing or smudged, the AI writes BLANK and does not guess. (VAT is just a column name here. This guide gives no tax advice. For VAT rules, see GOV.UK on VAT or ask your accountant.)
- You check. Read every figure beside the original. The original wins.
- You save it. Type or paste the checked row into a practice sheet.
AgentShed's PDF data-entry playbook has a copy-and-paste prompt for step 2, plus a test: leave one line blank on your practice invoice and check that cell comes back BLANK.
Free ways to try it
Prices and limits as shown on each vendor's page on 28 October 2026. They change, so check current pricing before you rely on them.
| Option | Free allowance (28 Oct 2026) | Set-up effort* | Best for | Official page |
|---|---|---|---|---|
| By hand | £0, your time | None | The baseline to beat | n/a |
| Claude free plan | $0; usage limits apply; up to 5 Projects | Low | One file at a time | Claude pricing |
| Make free plan | 1,000 credits a month; most actions use 1 credit; runs at most every 15 minutes | Medium | Small repeat jobs | Make pricing |
| Zapier free plan | 100 tasks a month; two-step Zaps only; "AI by Zapier" step not included | Medium | Simple hand-offs | Zapier pricing |
*Set-up effort is our judgement, not a measured result. AgentShed hasn't tested Claude, Make or Zapier for this job, or timed or compared them head to head.
A few details worth knowing:
- Claude. Anthropic's help page lists PDFs and JPEG, PNG, GIF and WebP images as supported uploads. The free plan has usage limits that reset on a rolling five-hour window. If you outgrow it, Pro was listed at $17 a month on annual billing ($200 up front) or $20 monthly, before tax.
- Make. Some AI features can use more than 1 credit per action. Paid plan prices change, so read the Make pricing page on the day.
- Zapier. Because AI by Zapier isn't on the free plan, don't plan an AI step there. Zapier lists a 14-day free trial of Professional. Our Zapier vs Make vs n8n page goes deeper.
- Currency. All three vendors price in US dollars on the pages we read. Your UK price, and any tax, may differ at checkout.
My pick: start with one file
Start with the free Claude plan and one practice invoice. No account links, no automation, nothing to break. Our Claude tool page has the details.
Once checked rows feel dull rather than risky, look at automating the follow-up. Make's free plan is where our invoice-chasing playbook begins, though it suggests switching on your accounting software's own reminder first. For receipts rather than invoices, use the receipts playbook.
Keeping it safe
- Practice data only. Use a made-up invoice with no real customer data while you learn. Don't upload real invoices until you've read the tool's privacy and data settings.
- Never let AI send, pay or file anything for you.
- Keep the sheet private. Don't share it with "anyone with the link".
- Keep the original next to the row so you can trace any mistake.
- A practice sheet isn't your accounting record. For what you must keep, and for how long, see GOV.UK or ask your accountant.
How we made this
AI-assisted, and fact-checked against the vendors' own pages on 28 October 2026. The news facts come from OpenAI's pages; the prices and limits come from the Claude, Make and Zapier pricing pages. We haven't used GPT-6.1 Terra, and AgentShed hasn't tested Claude, Make or Zapier for invoice reading, so nothing here is a tested result. See how we research a playbook.
FAQ
Do I need GPT-6.1 Terra to automate invoices? No. OpenAI lists Terra in ChatGPT Work and Codex on paid plans and in its API, not in regular Chat. You can try the same job free by giving an AI a made-up practice invoice and checking the row yourself. Pay for anything only if the free route hits a limit you have actually met.
Is GPT-6.1 Terra free? No. OpenAI's release notes (26 October 2026) list it for Plus, Pro, Business, Enterprise and Edu plans in ChatGPT Work and Codex, and in the API at $1 per million input tokens and $5 per million output tokens. That was OpenAI's price on 28 October 2026. Check OpenAI's pricing page before relying on it.
How accurate is AI at reading invoices? We don't know for your invoices, and AgentShed hasn't measured it. OpenAI reports its own error-rate result for Terra on an internal test of error-inducing prompts, which isn't an invoice test. Check every figure against the original until you have seen your own error rate.
Can AI enter invoices into my accounting software for me? OpenAI names that as an example use for developers. For a one-person business, the safer start is a checked row in a practice sheet. Nothing in this guide files, pays or sends anything for you, and it isn't tax or accounting advice.
Your next step
Make one fake invoice, run the four steps once, and see if the row matches. If it does, make a second fake one with a blank field and check the cell comes back BLANK. Only then think about real invoices.
